TUC Annual General Meeting
Note you must be a current TUC member in order to attend. Please also note that Intro members do not have voting rights at this meeting, but are welcome to attend. The AGM includes a report from the Board of Directors, report from the General Manager, review of Financial Statements and Finance Report, appointment of TUC auditor, and election of new Board members and renewal of terms. The AGM will also include an opportunity for TUC members to voice any concerns they may have with the Club. Please join us on November 5!
Time: 7:00pm - 8:30pm
Location: Ontario Institute of Education (OISE) Building at the University of Toronto, 252 Bloor Street West. The OISE Building is located across from the intersection of Bloor and Devonshire, just north of Varsity Stadium.
Room #: 4420 on the 4th floor
Transit/Parking: the OISE building is a 2 minute walk from St. George station. There is street parking on Devonshire and Prince Arthur Ave which is behind the building. There is also Green P parking that can be accessed from Prince Arthur Ave.
Wanted: Directors for Toronto Ultimate Club 2013
With the TUC Annual General Meeting coming up around the corner, the current Board of Directors wish to invite interested parties to put their names forward as candidates for a 2 year Director term. Typically, a handful of new people join our group to serve as the stewards of our organization. If you are interested in learning about what exactly does a TUC Board Member actually does, please read on.
New members of the board are elected at our AGM by the membership to serve two year terms. Board responsibilities include:
- Active participation in monthly meetings
- Serve on major planning and standing committees
- Champion the growth of our sport and club
- Represent the voices of all TUC members
Note that a member cannot become a Board Director without a majority vote of the members present at the AGM. If there are more nominees than positions, the lowest number of votes will not make it on to the Board.
Meetings
Our monthly recaps allow our group to refine club policies, assess current happenings and plan for the upcoming year. While the board is given details of the day-to-day operations, we typically allow our contractors and key volunteers to maintain responsibilities that are part of their portfolios. Meeting schedules are discussed to minimize conflicts with league games, however directors are strongly encouraged to attend meetings regularly and come prepared when reports and documents are supplied prior to our gathering. These meetings are formal events with Robert's Rule of Order being followed.
Standing Committees
Board of Directors must participate on at least one of the following Standing Committees: Finance, Human Resources and Operations. These groups are responsible for reviewing significant changes to our organization and bring well-researched responses to challenges and opportunities our group faces. Typically, these groups will discuss through email threads or informal meetings to ensure policy documents and new initiatives are well constructed for board discussion.
Other ad hoc committees including Juniors Development, Land Development, Strategic Planning and other groups are also areas of board engagement, but also utilize other club volunteers to ensure the membership is supported.
Champions of Ultimate
Our board members serve as Ambassadors of the Toronto Ultimate Club for our members and the community at-large. We serve as the sounding board and promoter of our club's growth and development to our members on the field and off.
Our board actively represents Toronto Ultimate with several organizations including Ultimate Canada, numerous provincial and municipal clubs, school boards, the City of Toronto and Tourism Toronto. It is through these active partnerships that our club is seen as a leader and role model in our sport and a well-respected partner in programs.
A Voice To All of TUC
Lastly, TUC's Board of Directors is our club's ear for the membership. We are the ones who you, the membership can provide feedback and concerns to ensure the long-term vitality of the sport grows. We may not instantly have the answers you are looking for, but certainly we are the ones who utilize your concerns to establish a vision that meets your needs. As a new board member, you need to have an open mind - we'll all work together to see if we can find the answers.

TUC's foundation is based on the strength of its volunteer core. We treasure our volunteers who commit countless hours to ensure our club serves our membership. For those who wish to get in the trenches and plan events and coordinate leagues, we certainly need your help and expertise. That being said, being on the Board requires a different set of skills and commitment that we desperately need. If you enjoy looking at the bigger picture and broad based planning; if you wish to provide TUC with your expertise from other boards or organizations; if you're looking to build skills consistent with the needs of this board, we encourage you to step forward.
